Service operator / privacy contact: Ravindrasingh Rajput (trading as MetaWiz), operating under the name MetaWiz, based in Antigua and Barbuda.
Privacy requests: admin@examlaunch.com or https://metawiz.space/contact
1. Scope and responsibility
This Policy explains how the MetaWiz operator handles personal information when you visit https://metawiz.space, register for an account, use research tools, communicate with support, or purchase a subscription.
For account and service administration, MetaWiz generally determines how relevant personal information is processed. Where an institution uses MetaWiz for its research workspace and determines the purposes of processing its own project data, responsibilities may differ under its separate agreement or applicable law. Paddle independently handles information needed for checkout and payment services under its own privacy notices.
2. Information we collect
Depending on how you use the service, we may process:
- Account information: name or display name, email address, account credentials or authentication identifiers, login and verification events, role assignments, and account preferences.
- Research workspace information: project titles, imported citations and bibliographic details, uploaded documents, study eligibility decisions, reviewer assignments, extracted evidence, risk-of-bias assessments, comments, datasets, files, and audit records supplied or generated through use of the service.
- Usage and technical information: session data, IP address, device and browser information, error messages, security events, access timestamps, and operational logs necessary to operate and protect the service.
- Billing and subscription information: subscription identifiers, Paddle customer and transaction identifiers, payment verification status, subscription plan, paid-through dates, and billing events. Payment card details are handled by Paddle when using Paddle Checkout; we do not need your full payment-card number to manage your MetaWiz access.
- Communications: content you submit through contact forms, support inquiries, institutional enquiries, and your communications with us.
Patient-identifiable information is not permitted on MetaWiz. Users must not upload, enter, paste or otherwise submit identifiable patient or participant health information in documents, datasets, full text, comments, communications or AI prompts. This includes direct identifiers (such as names and medical-record numbers), identifiable clinical images or records, and details that could reasonably identify someone when combined. A coded or pseudonymized record is not necessarily de-identified if it can be linked back to an individual.
MetaWiz is designed for lawfully accessed published research and appropriately de-identified research data. Users must remove identifying information before submission, even from materials that have been published, and must have the rights needed to process their content. If prohibited information is accidentally submitted, contact admin@examlaunch.com promptly to request review and appropriate removal.
3. How we use personal information
We use information to create and secure accounts; authenticate users; provide screening, extraction and meta-analysis workspaces; enforce authorized project access; verify subscription entitlements; respond to inquiries; diagnose errors and prevent misuse; maintain audit records; improve service reliability; comply with law; and administer permitted business operations.
Where laws such as the GDPR apply, processing may rely on performance of a contract, legitimate interests in operating and protecting the service, compliance with legal obligations, or consent where required. The applicable legal basis depends on the particular activity and jurisdiction.
4. Research projects and collaboration
Project owners and authorized team members can access project information according to the permissions available within the application. Where independent or blinded review is supported, visibility of reviewer decisions is controlled by the configured workflow. Project owners and institutions are responsible for assigning appropriate access and ensuring that uploads and sharing are lawful.
Academic articles, imported abstracts, and files may carry copyright or third-party license restrictions; MetaWiz does not grant rights to content you do not already have permission to use.
5. Optional AI features
MetaWiz may offer optional AI assistance for study screening, research summaries, extraction support, topic exploration or related operations. When a user invokes a feature implemented through an external AI provider, relevant portions of submitted research content may be sent to that provider to generate the requested result. Depending on the provider and configuration, requests may be processed, logged or retained under that provider's terms; this Policy does not promise zero provider retention or zero model-training use without separate verification. The prohibition on patient-identifiable information also applies to AI inputs. Outputs should be independently verified and must not be treated as final scientific determinations.
6. Third parties and service providers
We may share the minimum information reasonably necessary with parties supporting the service, including:
- Paddle: payment processing, subscription management, receipts, tax and refunds, acting as Merchant of Record for applicable purchases; see Paddle's Privacy Notice.
- Infrastructure and hosting providers: hosting, storage, backups, networking and security operations needed for MetaWiz.
- Authentication and email providers: when you choose an available Google or Microsoft sign-in option, or when we send verification, password-reset or service-related messages.
- Anti-abuse providers: public contact forms may use Cloudflare Turnstile, which can process connection and device information to help prevent automated misuse.
- Optional AI providers: where enabled, features including Topic Scout may use an external AI service such as OpenAI. Relevant research inputs are sent to that provider only when the feature makes an API request.
- Professional advisers and authorities: where disclosure is reasonably necessary for legal compliance, safety, or the protection of rights.
We do not authorize other users to access your private projects outside the access rules applicable to your workspace.
7. Cookies and similar technologies
MetaWiz uses session-related mechanisms that are necessary to maintain login state, security and application functionality. When enabled, third-party functions such as Google or Microsoft sign-in, Cloudflare Turnstile, and Paddle Checkout or its customer portal may set their own cookies or collect technical information according to their notices. If we enable non-essential tracking technologies, we will describe those technologies and provide consent controls where applicable law requires them.
8. Data retention
We generally retain account and project information while needed to provide the service, support collaboration, maintain research records, or meet legitimate operational and legal requirements. Billing records and security logs may be retained for accounting, dispute-resolution, fraud-prevention, or legal reasons. Information removed from active systems may still be present in backups; backup deletion is not necessarily immediate. We do not state a fixed backup-deletion interval here because the current operational schedule has not been verified. Contact us for information about the retention criteria applicable to your data.
You may contact us to request access to or deletion of eligible personal information. We evaluate requests against applicable law, the rights of other project members, technical constraints and legally required retention.
9. Security
We use reasonable administrative, technical, and operational safeguards appropriate to the nature of the service to protect against unauthorized access, misuse, and loss. No internet service or storage system can guarantee absolute security. You should use a strong password, protect sign-in accounts and ensure project invitations are made only to trusted collaborators.
10. International transfers
Because users, service providers and research collaborators may be in different countries, personal information can be processed outside your country of residence. Where applicable law requires safeguards for international transfers, we will apply appropriate mechanisms or contractual protections as required.
11. Your privacy choices and rights
Subject to applicable law, you may have rights to request access, correction, deletion, portability, restriction or objection to certain processing, or withdrawal of consent where the processing is consent-based. Some information must be retained for legal, security, transaction, or legitimate recordkeeping purposes. For requests, contact admin@examlaunch.com or https://metawiz.space/contact. We may verify your identity before acting on a request.
You can also manage subscription billing information using Paddle's customer portal. For the payment records Paddle independently controls, please contact Paddle through its published channels.
12. Children
MetaWiz is intended for academic and professional research use, not services directed toward children. Users under the age of majority or any age requiring guardian consent under applicable law should not register without the appropriate authorization.
13. Policy changes
We may update this Policy as the service, vendors, or legal requirements change. The effective date at the top indicates when this version applies. We will provide additional notice of material changes where legally required.
